Title
Assistant to Dean
Description

Performs responsible technical, clerical or program administrative duties to relieve the dean of administrative details. Work involves planning, organizing, performing, and supervising a variety of administrative activities and may require supervision of one or more clerical assistants. Work is performed under general supervision with latitude for initiative and independent judgment within the college's established policies and procedures.

Examples

Interprets policies and explains procedures relating to academic activities performed in the college. Handles routine and special and confidential correspondence. Maintains and balances numerous operating accounts for the college. Performs specialized tasks requiring a high level of organizational skill, typing, and the taking of dictation and the preparation of college documents for distribution to the departmental chairs, faculty, and the administration. Develops special administrative analyses and summary reports. Performs related work as assigned.

Physical Condition
Experience

Should have three or more years of considerable progressively responsible experience in general office practices and procedures, including some administrative work and personnel supervision, preferably in a higher education environment. Experience in scheduling meetings, preparation of documents, requisitions, reports, and vouchers, required.

Knowledge

Thorough knowledge of modern office practices and procedures and the use of office machines, personal computers, and various office equipment. Knowledge of various software programs including but not limited to Microsoft Word, Excel, Outlook, and PowerPoint. Ability to understand and interpret pertinent policies and procedures clearly and accurately.

Education

Graduation from a high school with either advanced secretarial training or college level courses in business administration or a combination thereof. Bachelor's degree preferred.

Additional Requirements

Excellent verbal and written communication skills. Must be well organized. Able to multitask, work independently with little supervision, and solve complex problems.
