Coordinator, Museum Marketing and Events

In support of the museum’s overall goals of building audience engagement and community connections, and expanding the diversity of audiences, increases both earned income and philanthropic support by connecting with audiences through special events, facility rentals, fundraising events, and managing the Museum Shop. (CEM) Primary responsibilities include working with audiences and users of the museum facility within MSU and the surrounding community to coordinate all details related to scheduling, planning, presenting, and overseeing events at the Museum. (PPD) Reports to the Museum Director.


Dynamically and creatively connects museum activities with university and community priorities. Coordinates with MSU administration, student and faculty organizations and; community partners; and the general public to promote, schedule, and manage academic, corporate and private events, such as social events, collaborative programs, business meetings, rentals and museum event use of the facility. Coordinates Museum events, such as exhibition receptions and public lectures. Coordinates a master Museum calendar and assists in calendar development for Museum programs. Develops and executes a Museum rental policy, rental pricing, and financial processes, such as billing. Offers event planning as part of the facility rental program. Cultivates relationships with associated vendors, such as caterers. Communicates and upholds Museum policy and procedure to all users. Prepares budgets and reports for events and broad community programs. Oversees seasonal decorations of the building, as appropriate. Monitors guest experience and museum event facilities, including restrooms, A/V equipment, tables, chairs, linens and kitchen equipment, and communicates any issues; works as part of a team to resolve problems, including budgeting for necessary repairs and services. Facilitates cleaning of event linens. Participates in strategic planning. Develops marketing materials, such as imagery, copy, and testimonials to promote facility rentals and all associated museum events, toward meeting annual earned income goals. Schedules and supervises hourly staff in the set-up, breakdown and implementation of events, including oversight of cleaning, building closing, caterers, event planners, and A/V needs. Coordinates and implements delegated programming. Maintains Museum Shop inventory, tracks shop revenue, coordinates consignments, and oversees shop displays. Performs other duties as assigned.

Physical Condition

Ability to supervise and participate in event set up and breakdown, including lifting tables and chairs and using various tools


Preferred two years relevant experience in a museum or art related setting, preferably in special event management, scheduling and oversight of others


Required appreciation of current museum best practices, especially related to rental use. Knowledge required for successful public events staging, planning and execution.


Bachelors Degree in Hospitality Management, Non-Profit Management, Marketing or related discipline

Excellent verbal and written communication, interpersonal skills and customer service. Ability to work independently and on a team and to oversee vendors and hourly assistants. Strong organization and project management skills, with accuracy and attention to detail. Effective time management strategy. Skill in problem solving and making sound decisions. Ability to remain calm and personable under pressure. Ability to negotiate. This position requires a flexible schedule that includes evenings and weekends Tues-Sat, defined weekly by the events schedule and needs. *Regular reliable attendance is required.*Designated as a Responsible Employee as outlined by Title IX. *This position is designated as security sensitive (Mod) and requires a criminal background check.
