Title
Coordinator, Advancement Services
Description

The Advancement Services Coordinator reports to the Assistant Director, University Development for Advancement Services and works with the Vice President of Advancement and Public Affairs and the Assistant Vice President of Gift Planning and Development. The Coordinator will perform duties under the direction of the Assistant Director in all areas of Gift Processing, Database Integrity, Data Requests, Reporting and Prospect Management. The Coordinator must have the ability to maintain a high degree of confidentiality and responsibility regarding information related to University business and confidential prospect information.

Examples

Opens mail, records gifts on a spreadsheet as required by the state auditors. Makes copies and daily deposits insuring that account numbers for each donation is correct. Reconciles deposits with receipts. Sends monthly reports to all departments that have received donations. Meets with campus community to explain services provided by the Advancement office. Assists in updating the database on a daily basis which may include obituaries, name and address changes, employment status, etc. Assists with address and email list requests received from campus community. Assists with reporting of gifts to the university community i.e. if a Dean needs a lists of all donations received in the first quarter of the fiscal year. Assists with creating research snapshots to assist Dean's or VP's when meeting with prospective donors. Works with all colleges and university departments to provide an understanding of the services provided by Advancement Services.

Physical Condition
Experience

Should be experienced in general office practices and procedures with some accounting experience. Requires experience in the use of personal computers, copiers, and scanners.

Knowledge

Working knowledge of Microsoft Office Suite required. Knowledge of generally accepted accounting practices helpful. Knowledge of or ability to learn Raiser's Edge, Raiser's Edge NXT or any donor database software, Banner, or Argos.

Education

Associates or Bachelor's degree preferred but work experience will be considered.

Additional Requirements

Requires the ability to work well with diverse populations and maintain positive working relationships with students, faculty, staff, and the community. The Coordinator must have working knowledge of business English, spelling and punctuation and be able to work independently on difficult and complex assignments. Must able to successfully manage relationships with campus community and alumni, donors and friends of the university. Must also have the ability to establish and maintain effective working relationships with supervising personnel, co-workers, and the public in general. Must be able to speak to small groups about the services provided by the department and explain any reports that come out of the office. Must be able to type and operate a desktop computer. Must be detail oriented. Regular reliable attendance is required. *This position is designated as security sensitive (mod) and requires a criminal background check.
