Title
Administrative Assistant
Description

Performs complex technical or semiprofessional administrative work in assisting an administrator or administrative department head. May assist with other offices in the Division/College. Frequently assumes responsibility for program activities, and for the assignment, training, and supervision of one or more assistants. Work is performed under administrative direction within the limits determined by established policies and procedures.

Examples

Acts as liaison between administrator, staff, and other university programs in handling of matters which do not involve policy decisions. Receives, sorts, and directs correspondence. Develops summary reports for the review of administrator on staff reports and recommendations. Compiles technical data and maintains records pertaining to agency programs.· Assists in preparation and distribution of internal reports, meeting agendas, and announcements to faculty and staff. Maintains office files, equipment, and inventory. Responsible for repair calls of equipment, copier maintenance and reports. May assist with department and social media accounts. May maintain director's calendar and handle travel arrangements. Prepares requisitions for purchasing and travel. Performs related work as assigned.

Physical Condition

Sufficient dexterity, agility, and physical condition to perform routine office tasks. Light lifting might be required.

Experience

Must have at least two years of experience in clerical positions. Experience in scheduling meetings, timekeeping, preparation of documents, preparation of requisitions and vouchers required. Should have responsible experience in general office practices and procedures, including some administrative work, preferably in a higher education environment. Experience with Social Media a plus.

Knowledge

Requires knowledge and skill in the use of various office equipment and personal computer software programs, including but not limited, to Word and Excel, database applications. Considerable knowledge of accepted office procedures, principles and practices. Ability to understand and interpret policies and procedures in relation to carrying out a program. Attention to detail and ability to multi-task.

Education

Graduation from high school, plus college level courses in business administration and/or secretarial administration. Bachelor's degree preferred.

Additional Requirements

Requires excellent interpersonal and oral and written communication skills. Must be well organized, demonstrate initiative, be able to work independently with little supervision and to solve complex problems. Must maintain confidentiality. Ability to work in a self-motivated, self-directed fashion while serving as a member of a collaborative team. Must be able to establish and maintain effective working relations with university staff, faculty, students, and outside contacts and be a positive representative for Midwestern State University.
