- Payroll Specialist
- Description
Reports directly to the Director and is one of a three-member payroll team. Responsible for preparation of monthly payroll. Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates. Analyzes contracts and payroll authorization forms, manages timekeeping system to facilitate data entry of payroll documents. Performs work with considerable independence requiring initiative and professional judgment within the guidelines of federal and state laws, as well as, university policies and procedures.
- Examples
Duties will vary by assigned area but may include responsibility for a variety of payroll related tasks. Data entry of various deductions, such as parking & charities. Reports to & reconciles errors within the state's HRIS reporting system. Responsible for research, registration and filing of State tax requirements. Handles special requests for payroll information and statistical reports. Interacts with nonresident alien students regarding treaty exemptions or withholding credits on scholarships. Processes information entered by nonresident aliens through web-based taxing system to determine the substantial presence test (SPT). Processes payroll documents such as Electronic Personnel Action Forms (EPAF). Responsible for auditing and correcting employee time and monitoring of employee leave accruals and totals used. Maintains timekeeping system updates/changes. Provides back-up for Director and Payroll Assistant in their absence.
Attends professional development trainings, workshops, or seminars to stay informed on current payroll practices, policies, and federal and state laws and regulations. Participates in various campus meetings as required. Performs related work as assigned.

- Experience
Three years of related payroll and/or accounting experience required, preferably in higher education or at another Texas State agency.
- Knowledge
Thorough knowledge of payroll function including preparation, balancing, internal control, and payroll taxes. Understanding of accounting principles and data processing procedures. Skilled in data entry. Operates calculator by touch. Proficient with Microsoft Office Suite, and payroll software.
- Education
Bachelor’s degree in accounting, business administration, human resources, or related field preferred. High school diploma with equivalent work experience required.

Strong organizational and communication skills (both written and verbal) with the ability to multi-task, prioritize, maintain confidentiality and meet deadlines. Customer service focused, favorably representing the university at all times. Excellent organizational skills and attention to detail. Requires attention to accuracy.
