Title
Registrar Assistant III
Description

Performs complex clerical and detailed work which requires a specialized knowledge of Midwestern State University policies and procedures. Usually performs a combination of tasks, but must maintain a working knowledge of all functional areas of the Registrar's office. Works independently to manage tasks to mesh with other office procedures. Assists with supervision and training of the Registrar Assistants I and II personnel. Assists with the grade cycle maintenance of the Student Information System. Acts as liaison with the information systems staff in the handling of day to day problems or needs of the office. Makes recommendations regarding office policies and procedures to the Registrar. Prepares complex as well as routine reports for both external and internal distribution. Posts proficiency exam scores and/or notifies instructors of changes/corrections to class rolls. Performs specialized tasks using Banner Student Information system and Microsoft OfficeSuite. Maintains student withdrawal and reinstatement records. Evaluates transcripts of MSU students' concurrent coursework from other colleges/universities and serves as contact person for university academic room scheduling. Reports to the Registrar.

Examples

Manages grade entry and posting as required and makes assignments to assistants as required for task. Plans work assignments daily, monthly, and yearly to coincide with cyclical nature of office responsibilities. Revises and updates forms as required. Oversees examination of statistical data, such as g.p.a. summaries, classification of students, change of major/minor forms, and academic standing calculation in computer system. Audits and evaluates files and makes corrections if needed. Codes repeats of classes for correction of g.p.a. calculation. Computation and entry of grade statistics from which academic standards are computed. Data entry for initial statistics for students' computerized records. Interprets and explains catalog policies. Prepares files for the document imaging process, images and indexes files. Performs other duties as assigned.

Physical Condition

Responsible for organization of several file cabinets and transportation of files to the vault. Moderate lifting required.

Experience

One or more years experience and training in a college environment, preferably in a Registrar's Office or a related area such as Admissions. Must have experience working with the public in person, by telephone and through written communication. Should have considerable experience in working with a computer database.

Knowledge

Considerable knowledge and use of good written and oral English and strong communication skills. Skill in the use of a personal computers and standard office equipment. Ability to maintain a database; good word processing skills including Microsoft Office Suite. Knowledge of effective office procedures.

Education

Two years college course work. Bachelor's degree preferred. Appropriate experience in a similar position may substitute for the college course work requirement.
