Title
Assistant to Vice President, Student Affairs
Description

Provides secretarial and administrative support to the Associate Vice President, Student Affairs/Dean of Students that involves performing a variety of complex technical, clerical and administrative duties. Works under the general supervision of the Associate Vice President with latitude for initiative and independent judgment. Manages front office operations. Supervises student assistants. Assists with student referrals and assistance requests.

Examples

Handles routine, special, and confidential correspondence in a timely and professional manner. Screens visitors, schedules appointments, and maintains files, fiscal records, department webpages, and restricted information. Supervises student assistants by assigning work priorities, monitoring performance, and creating work schedules. Develops special administrative analyses, summary reports, budgetary updates, and communication or presentation documents for the Associate Vice President. Performs specialized tasks requiring a high level of skill in typing, English usage, and computer operations. Assists with department program or event planning and implementation. Performs other duties as assigned by the Associate Vice President.

Physical Condition
Experience

Must have extensive experience in general office practices and procedures, including some budgeting and personnel management, and creating a customer centric environment. Experience in scheduling meetings or events, program planning, preparation of professional documents, requisitions, presentations, and reports is required. Advanced PC experience is required in Microsoft Office applications. Experience creating and maintaining webpages is preferred. Experience in college student activities, advising, counseling or case management, or related administrative or managerial responsibilities is preferred.

Knowledge

Excellent working knowledge of business English, spelling, and punctuation. Thorough knowledge of office practices, procedures, and equipment. Skill in word processing and advanced computing, including generally accepted Microsoft software applications (e.g. Word, Excel, Powerpoint, and Outlook) as well as technical knowledge of or ability to quickly learn new computer software. Ability to work independently on difficult or complex assignments and to interpret and follow pertinent policies and procedures clearly and accurately.

Education

Bachelor's degree required. Master's degree preferred.

Must have excellent verbal and written communication skills, and possess excellent time management, organizational and record-keeping skills, with the ability to work under pressure and uneven time constraints. Must be able to multi-task, work independently, solve complex and technical problems, and exercise sound judgement in difficult situations. Must be able to deliver outstanding, ongoing customer service, and maintain effective working relationships with students, faculty, staff, and the general public. Must have the sensitivity and skill to work inclusively with a diverse and multicultural student, employee, and community population.
