- Description
The Assistant to the President performs a wide range of administrative and office support duties of moderate complexity within the Office of the President at Midwestern State University. Duties include general office tasks, preparing various forms and contracts, assisting Faculty Senate with website updates and livestreaming of meetings, overseeing maintenance of Sikes House, maintaining accounts, and assisting with the coordination and management of Office of the President events under the direction of the Executive Assistant to the President. The role requires interacting professionally with administrators, staff, faculty, students, donors, and community members, both in person and via telephone, ensuring a high level of service, efficiency, and confidentiality. The position is integral to the Office of the President team and reports to the Executive Assistant to the President.
- Examples
Produces work with accuracy, neatness, and thoroughness and handles duties in a responsible manner. Plans and organizes work to ensure timely completion of tasks and functions. Prepares travel vouchers, purchase requisitions, contracts, forms, and related materials. Schedules and supervises repair and cleaning of Sikes House. Works with the Executive Assistant to the President and the Chief of Staff to coordinate and manage events sponsored by the Office of the President, including events hosted at the President’s home and on campus. Proofreads documents and other materials carefully to ensure accuracy, clarity, and consistency. Maintains office files, equipment, and inventory and drives to purchase supplies as needed. Demonstrates a willingness to assist with whatever needs to be done to help the Office of the President operate effectively and efficiently. Manages the Office of the President in the absence of the Executive Assistant to the President.
- Physical Condition
Must be able to lift up to 15 lbs.
- Experience
Two or more years of related office experience. Experience working with the public in person, through email, and via telephone. Experience in event planning or coordination is a plus. Must hold a valid driver’s license and automobile insurance.
- Knowledge
Knowledge of general office procedures and practices, as well as knowledge and skill in using various software programs, including but not limited to Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat. Knowledge of simple bookkeeping, such as recording and tracking expenditures, and reconciling accounts. Ability to perform basic mathematical calculations, type proficiently using a computer keyboard, organize and complete multiple tasks in a timely manner, and perform work that requires accuracy and attention to detail.
- Education
A bachelor's degree is preferred, though a high school diploma with extensive relevant experience may be substituted.

Ability to use good judgment in making decisions. Must possess excellent oral and written communication skills. Ability to work independently on difficult or complex assignments. Must be well-organized and able to work in a fast-paced environment. Flexibility to attend occasional after-hours and weekend events as needed. Confidentiality, internal and external, is required.
