Title
Human Resources Assistant
Description

Performs responsible clerical and technical human resources work under the supervision of the Director of Human Resources.

Examples

Serves as the first contact for visitors to the Human Resources Department. Greets applicants and visitors; answers the main HR telephone line and responds to the HR email account. Responsible for posting and closing position openings, coordinating interviews for applicants of non-faculty job openings, and completing reference checks. Collects and maintains statistics for applicant tracking and retrieval of EEO data. Coordinates completion of the hiring matrix and applicant evaluation forms with supervisors and completes job file. May verify data on Student Employee Personnel Action Forms. Collects and verifies I-9 work eligibility. Submits background checks. Completes employment verifications. Tracks staff annual performance reviews and employee training (ex: EEO, Child Protection, etc). Assists with employee recognition events. Orders supplies for the HR Department. Duties also include scanning documents, shredding and filing. Maintains the Human Resources webpage and Human Resources Social Media accounts. Formats the Human Resources Newsletter. Recruits staff by attending local employment fairs. Performs related duties as assigned.

Physical Condition

Ability to sit for long periods of time; stand, and bend while filing.

Experience

One to two years of clerical/secretarial experience preferably with emphasis on the human resources function. Experience in filing, preparation of reports and correspondence. Should be experienced in the use of computers and computer software programs such as Word, Outlook, Excel, and Access.

Knowledge

Requires knowledge of office procedures and business etiquette. Some knowledge and understanding of applicable Federal and State laws and policies with the ability to effectively apply them to the human resources function, preferred. Bilingual preferred but not required.

Education

High school graduation required; some college preferred.

Requires the ability to work well with diverse populations and maintain positive working relationships with students, faculty, staff, and the community. Requires excellent interpersonal and oral and written communication skills. Must be able to establish and maintain effective working relations with university staff, faculty, students, and outside contacts and be a positive representative for Midwestern State University. Courtesy and professionalism a must. Ability to use good judgment. Extreme accuracy in all phases of work. Confidentiality a must. Personal cell phone usage may be required to complete position duties, including multi-function authentication requirements.*Regular reliable attendance is required. *Designated as a Responsible Employee as outlined by Title IX. *This position is designated as security sensitive (Mod) and requires a criminal background check.
