Title
Assistant to the Registrar
Description

Performs responsible administrative and complex clerical duties related to assisting the Registrar in overall operations of the office. Supervises the clerical work of several full-time and part-time employees. There is wide latitude for independent initiative and judgment. Varied problems require solution or informed referral to others for resolution. Reports directly to the Registrar, and must be qualified to assume full authority for direction of the office in absence of the Registrar, Associate Registrar, and Assistant Registrar.

Examples

Performs degree reviews, works with students and their faculty advisers concerning course scheduling when problems occur, supervises over-all student record management, control and security, approves purchases and maintains inventory controls, assists in budget planning and control, may check athletic eligibility. Assists with registrations and commencement, implementation and maintenance of on-line degree system, course inventory, and performs other related duties as assigned. May assist with new student orientations, and/or faculty staff training.

Physical Condition

Must have the physical ability to carry files to and from the vault.

Experience

At least five years of progressively responsible experience in academic administration, preferably with a State of Texas college or university. Requires two to three years prior secretarial/clerical experience with some course work at the university level.

Knowledge

Must have a good knowledge of student admissions as well as student enrollment procedures, university policies, regulations, and degree requirements. Must be knowledgeable in standard office practices and procedures and in the use of personal computers and commonly used office software programs, such as Word, Excel and Outlook.

Education

College degree in counseling, accounting, or business is preferred. At least 2 years college work required. High school graduation plus equivalent academic area or college/university experience may be acceptable.

Additional Requirements

Requires the ability to work well with diverse populations and maintain positive working relationships with students, faculty, staff, and the community. Must be able to type and have computer and word processing skills and 10-key operation by touch. Diplomatic interpersonal and telephone skills required to handle complex academic situations and to assist international students with a limited understanding of the American system of higher education. Must have the ability to work well with people, to include interacting with faculty and administrators as well as students. Must be able to establish and maintain good working relationships with many constituents. Must have strong public relations skills in dealing with the public and students with a compassionate and caring customer service attitude. This position requires some evening and weekend work and occasional travel to professional conferences, training, or workshops. *Typing test required. *Regular reliable attendance is required. *This position is designated as security sensitive (Mod) and requires a criminal background check.
