Coordinator, Special Events
Description

Responsible with the Director for facility operations and coordination of services in the Clark Student Center (CSC). Assists in the supervision and the overall operations of the student center facilities. Manages the University Master Calendar, CSC room set ups, audio visual needs for events, and communication with campus departments (security, facilities). Provides and explains CSC and university policies/procedures related to reservations. Responsible for issuing MSU Campus Cards, granting and programming door schedules for buildings, individual and group swipe access and initialization of MSU Enhanced Card Program. Coordinates the installation and maintenance of new and existing card access locations with appropriate university staff. Assists in managing CSC custodial staff and student employees. Reports to the Director of Clark Student Center.

Examples

Schedules University events on Master Calendar; coordinates set-ups in CSC with users and custodial staff. Supervises reservation assistants by assigning work schedules and priorities and monitoring their performance. Assists student center customers in defining facility needs; coordinates CSC maintenance with Facilities Services personnel; coordinates utilization of student center with food service management; orders supplies; monitors budgets. Produces monthly and annual reports. Performs tasks related to issuing cards and recordkeeping for the MSU Campus Card system. Maintains door schedules for buildings with card access. Orders supplies for the campus card system. Attends weekly meetings with student center custodial supervisor and Aramark personnel regarding events. Manages CSC facility reservation system (EMS) and Campus Card System (CSGOLD), and technical services. Interacts with banking vendor on current and future campus card programs. Participates in presentations during Spirit Days, Transfer Days and Orientation as it relates to campus cards. Assists in managing custodial staff and student employees. Performs other related duties as assigned.

Physical Condition

Physical ability to sit or stand for long periods of time, ability to move about the CSC, and to perform the functions and requirements of the position.

Experience

Three or more years experience in college union operations or related administrative or managerial experience, to include budgeting and personnel management. Experience in facilities management, event planning, card management, and programming desirable.

Knowledge

Must be knowledgeable in the use of computers and commonly used office software programs, such as Word, Excel and Outlook. Must know or be able to quickly learn EMS (Event Management Systems), and CSGOLD (campus card) programs.

Education

Bachelor's degree required, Master's degree preferred.

Requires the ability to manage people and resources, to teach, direct, guide and evaluate; excellent interpersonal and communication skills; ability to manage a variety of tasks in a busy office atmosphere. Must have the ability to work well with college students, faculty, staff, and the public. *Must be able to work occasional nights and weekends. Serves as Campus Security Authority as outlined by the Clery Act. *Regular reliable attendance is required. * Must be available some nights and weekends. Must periodically serve on a standby or on-call basis.*Designated as a Responsible Employee as outlined by Title IX. *This position is designated as security sensitive (Mod)and requires a criminal background check.
