Title
Assistant to Chief Information Officer
Description

Performs complex technical or professional administrative work in assisting the Chief Information Office (CIO) and Information Systems Department. Assumes responsibility for administration activities, and for the assignment, training, and supervision of one or more assistants. Work is performed under the direction of the CIO with the limits determined by established policies and procedures. This is a senior level position responsible for administrative office work. Performs a variety of administrative support tasks that are non-routine and non-repetitive in nature, and is required to use considerable independent judgment and initiative.

Examples

Acts as liaison between the CIO and staff in handling of matters which do not involve policy decisions. Coordinates the operations of a complex office and coordinates the gathering of information and preparation of schedules, and reports. Supervises inventories of supplies and equipment, maintains personnel, payroll, phone, and budget records and performs secretarial functions for the CIO, Chief Information Systems Officer (CISO), and Information Systems staff. Assists in accounting for funds expended and to be spent for supplies, equipment, and personnel; assists in preparation of annual budgets; supervises the maintenance of departmental facilities; prepares correspondence, and requisitions for equipment and supplies. Prepares travel vouchers and accounts for the expenditures of travel funds, makes recommendations for and implements changes in policies and procedures; coordinates arrangements for travel and conferences, programs, meetings, and special events, provides administrative support for periodic and special projects, and observes safety and security precautions appropriate to work performed. Performs related work as requested by the CIO.

Physical Condition

Ability to lift 25 lbs. Ability to sit or stand for long periods of time.

Experience

Six years of experience in office positions. Should have considerable responsible experience in office administration, including general office practices and procedures. Experience with and knowledge of relevant office equipment including computers and Microsoft programs. Experience in scheduling meetings, preparation of documents, requisitions, and vouchers required. Prior experience in higher education environment preferred.

Knowledge

Considerable knowledge of (or ability to rapidly assimilate and retain) university operating procedures, organization and management policies, knowledge of sound business principles, practices and techniques. Knowledge of safety and security precautions appropriate to work performed.

Education

Graduation from high school, plus college level courses, preferably in business administration. Bachelor's degree preferred.

Ability to understand and interpret policies and procedures. Ability to establish and maintain effective working relationships. Strong written and oral communication skills and supervisory skills. Must be well organized, act with considerable initiative, and have the ability to work independently with little supervision.
