Registrar Assistant II

Performs complex clerical and detailed work which requires a specialized knowledge of legal and fiscal programs of government agencies, the State of Texas and the interrelationships of these rules and statutes to Midwestern State University policies and procedures.  Usually performs a combination of tasks, but may specialize in a specific area of responsibility such as processing withdrawals, transcript production, verification of enrollment, answering office General Email account, and backing up front counter assistance.  Works independently to manage functional area to mesh with other office procedures and processes.  Communicates with students both orally and in writing regarding decisions made.  Prepares complex as well as routine reports for both external and internal distribution.  Supervises clerical assistants involved in performing routine clerical work.  Has working knowledge of student information system.  Performs specialized tasks involving the operation of computer, word processing equipment, calculators, microfilm readers, and document imaging systems.  Reports to the Registrar.


Maintains records of transcript and graduation monies received and prepares deposits.  Assists with review of transcripts for accuracy and core curriculum completion.  May assist with posting of credit by examination.  Plans work assignments daily, monthly and yearly to coincide with cyclical nature of office responsibilities.  Revises and updates forms as required.  Daily entry of documents into information system.  Daily heavy personal, telephone, email, or written contact with students and other members of the campus community.  Supervises student assistants, organizes student record storage, and uses document imaging system.  May advise students about appropriate registration procedures, and transcript ordering procedures.  Assists with preparation for and production of commencement ceremonies and other special events as required.

Physical Condition

Experience and training in college environment for one to two years is preferred, especially in related area such as a Registrar’s Office or an Admissions office.  Should have considerable experience in working with public.


Considerable knowledge and use of good written and oral English.  Good proofreading skills required.  Skill in the operation of personal computers, calculators, copiers, scanners, and other usual office equipment.  Understanding and ability to apply effective office procedures.  Ability to plan and manage work, understand and implement complex, cross-related tasks, make independent decisions, supervise clerical assistants and maintain good relationships with the public.  Must be adaptable, flexible, and cooperative.  Typing test required.


Graduation from an academic high school program including or supplemented by training in office work or business courses.  Some college work required, degree preferred.  Work experience in a college or university setting a plus.

Additional Requirements

Requires the ability to work well with diverse populations and maintain positive working relationships with students, faculty, staff, and the community. Able to use Microsoft Office Suite, with good word processing, email, and web familiarity.  Banner Student Information System experience a plus.  Must be able to analyze data and organize information into reports or correspondence.  Interprets and explains catalog policies and university procedures.  Responsible for organization of several file cabinets and transportation of files to the vault.  Moderate lifting required. Must exhibit a caring customer service attitude. Must be able to maintain confidentiality in compliance with the Family Educational Rights and Privacy Act. Regular reliable attendance required. This position is designated as security sensitive (mod) and requires a criminal background check.
