Title
Assistant to Provost/VPAA for Academic and Budgetary Affairs
Description

Provides administrative support to the Provost that involves planning, organizing and performing a variety of complex technical, clerical, budgetary and administrative duties. Develops special administrative analyses and summary reports for review. Works under general supervision of the Provost with latitude for initiative and independent judgment.

Examples

Handles routine and confidential correspondence, keeps faculty records including promotions and tenure status, eligibility dates, and SACS information. Assists with faculty recruitment, keeps records regarding hiring, prepares offer letters and faculty contracts, reviews the employment recommendations for new hires, assists with paperwork regarding international faculty. Maintains budget related spreadsheets and records and assists the provost with the monitoring of all budgetary items related to Academic Affairs. Maintains files, fiscal records, and restricted information. Performs specialized tasks requiring high level of skill in typing, computer operation, preparing reports and special studies including budgetary reports. Reports to the Provost and Vice President for Academic Affairs. Performs other related duties as assigned.

Physical Condition
Experience

Should have considerable progressively responsible experience in general office practices and procedures, including some administrative work and personnel supervision. PC experience - specifically Microsoft Word, Outlook, and Excel necessary.

Knowledge

Excellent working knowledge of business English, spelling and punctuation. Thorough knowledge of modern office practices, procedures, and equipment. Ability to work independently on difficult or complex assignments and to interpret pertinent policies and procedures clearly and accurately. Ability to establish and maintain effective working relations.

Education

College degree preferred; high school graduation supplemented with college courses and heavy experience in the specific job areas is acceptable.

Requires the ability to work well with diverse populations and maintain positive working relationships with students, faculty, staff, and the community. Skill in the use of word processing and computing software. Ability to prepare reports, letters, budgets, and faculty contracts. Ability to understand, interpret, explain, and apply pertinent policies and procedures clearly and accurately.
