Title
Associate Registrar
Description

Serves in a leadership role assisting the Registrar in the overall management of the Office of the Registrar. As a member of the leadership team in the Office of the Registrar, serves in a direct supervisory capacity of certain staff on a day-to-day basis and for all staff in the absence of the Registrar. Assists in the overall strategy and development of the Office of the Registrar and its staff. Works with the Registrar and office personnel to keep registration policies and procedures updated and as efficient and informative as possible. Assists with implementation of new registration procedures and office systems and software, as well as training the campus community on the use of those systems, such as future technological changes to the Banner student information system and Degree Works degree system and transcript production system. Assists with the production of the MSU Schedule of Classes. Maintains academic course inventory of MSU with the Texas Higher Education Coordinating Board (THECB) and in the student information system, as well as serving as Texas Success Initiative liaison for reporting the THECB and the university community. Maintains the Texas Common Course Numbering System data for MSU course equivalencies, works with state reverse transfer and degree plan initiatives. Assists with orientation programs, and my assist with registration of special populations of students. Works with Clearinghouse reporting, and assists Registrar in maintaining compliance with new legislative requirements or changes.

Examples

Works with the Registrar on security protocols and appropriate security assignments for role-based security to student information system and for degree review users. Must have a high level of FERPA experience. Monitors University compliance with state mandated assessment tests with regard to admission, registration, advising and reporting procedures. Coordinates state course inventory reports. Maintains course inventory information working with deans, chairs, and the Provost on new courses and program approvals, CIP codes, etc. Trains office staff on use of various MSU systems for their daily jobs as well as helping to ensure caring customer service is provided by staff. Assists Registrar in determining and meeting office goals, and MSU Strategic Plan, as well as budget planning. Assists with planning and implementing Commencement Ceremonies and supervision of staff, student assistants, and volunteers.

Physical Condition

Must be able to do some sitting, standing, walking, and working with moving files and objects to and from the office areas as needed.

Experience

At least five years of experience in a supervisory or administrative role, preferable in a State of Texas College or University, which shows progressive responsibility and duties. Strong administrative and clerical experience with strong proofreading skills and experience producing copy-ready materials.

Knowledge

Must have good knowledge of student admissions related to the overall picture of the college student, as well as student enrollment procedures, university policies, federal and state policies, and degree requirements. Must be knowledgeable in standard office practices and procedures and proficient in the use of personal computers and the Microsoft Office Suite, especially Word, Excel, PowerPoint and Outlook. Must have some knowledge of purchasing and budgeting procedures as well as FERPA law and maintenance of permanent academic records.  

Education

Bachelor’s degree required, Master’s degree or relevant progressively responsible experience preferred.  Consideration may be given to a candidate with appropriate experience who is nearing completion of degree.

Requires the ability to work well with diverse populations and maintain positive working relationships with students, faculty, staff, and the community. Must have the ability to work with well with people, to include interacting with faculty and administrators as well as students. Must be able to establish and maintain good working relationships with office staff in supervisory capacity. Must be able to type by touch 50 WPM and to use computers proficiently. Must have strong public relations skills in dealing with the public and students. Must have good written and verbal communication skills and be able to speak in front of audiences of students, parents, faculty, and staff. Must be able to organize and prioritize workloads and perform work under stressful conditions. Must be able to handle multiple tasks. Occasional travel and night/weekend work required. Must possess and demonstrate a compassionate, caring, customer service attitude, strong work ethic, and be committed to the University and the Office of the Registrar Missions. Must demonstrative positive and upbeat leadership for office team members. Must be able to evaluate and recommend improvements needed in staff training and performance. Assists Registrar in hiring full-time staff. Serves on relevant university councils and committees as assigned. Regular reliable attendance is required. Designated as a Responsible Employee as outline by Title IX. This position is designated as security sensitive (Mod) and requires a criminal background check.
